Minutes of Annual General Meeting

Held on Tuesday 24 May 2011 at the Clubhouse

 

  • 1. Present: Graham Howard (Chair - in the absence of Chairman Barry Wilkins), Barry Ferguson, Jeff Grant, Ron Gibbs, Bernie Henderson and 35 members as recorded on the attendance sheet.

Apologies:             16 members as per separate record. 

  • 2. Confirm the minutes of General Meetings held in the last 12 months.

Moved Jeff Grant, seconded Ron Gibbs that the minutes of the Annual General Meeting held on 25 May 2010 be accepted.  Carried.

Moved Jeff Grant, seconded Barry Ferguson that the minutes of the Special General Meeting held on 27 January 2011 be accepted.  Carried. 

  • 3. Consider and adopt the Chairman's Report and the Inc Committee Report.
  • Graham Howard presented the Chairman's report on behalf of Barry Wilkins.
  • Jeff Grant and Barry Ferguson presented the Inc Committee report.

Moved Jeff Grant, seconded Ron Gibbs that the reports be received.  Carried. 

  • 4. Consider and adopt the Treasurer's Report.

Ron Gibbs presented the financial report for the year ended 31 March 2011.

Moved Ron Gibbs, seconded Barry Ferguson that the report be accepted.  Carried. 

  • 5. Consider the Annual Reports from the RVBA and VLBA Divisions.

Reports from the RVBA and VLBA Divisions were provided at their respective previous meetings. 

  • 6. Election of office bearers.

As the correct number of nominations were received for each of the following roles the nominees were declared elected - 

Management Committee

  • Club Chairman - Bernie Henderson
  • Club Vice Chairmen (2) - Barry Wilkins and Barry Ferguson.
  • Club Secretary - Jeff Grant
  • Assistant Club Secretary - Sheldon Lipschitz.
  • Club Treasurer - Ron Gibbs
  • Greens Director - Graham Howard

Pennant Bowls and Club Championship Section

  • President - Peter Woodman
  • Vice-President - Marilyn Grant
  • Secretary - David Bill
  • Assistant Secretary - Cheryl McAnally
  • Treasurer - Barry Ferguson
  • Committee members (4) - Geoff Smith, Jeff Grant, Neil Dusting and Riesa Lipschitz.
  • Saturday Selection Committee (5) - Graham Howard, Geoff Smith, Maurie Vickerman, David Bill and Barry Ferguson.
  • Tuesday Selection Committee (3) - Julie Wilkins, Gary Glenister and Lyn Wise.

Graham Howard thanked committee members David Mitchell, Di Heller, Margaret Pepper and Robin Whitchurch who are not continuing in 2011/12.  All have made outstanding contributions to the Donvale Bowls Club over many years and in a variety of roles. 

Graham then handed over the Chair to new Chairman Bernie Henderson for the remainder of the meeting. 

  • 7. Elect Auditor.

Megan Howard has audited our financial records for the past 4 years and it was recommended that she be approached to do so again in 2011/12.

Moved Ron Gibbs, seconded Barry Ferguson that Megan Howard be approached to continue the role as Auditor for 2011/12.  Carried. 

  • 8. Fix Annual Subscriptions and Joining Fee for 2011/12.

Ron Gibbs advised that Inc has recommended there be no joining fee for 2011/12 and that Annual Subscriptions be set at -

Full Member - $160.00

Restricted Member - $130.00

Junior Member - $65.00

Full Time Student - $65.00

Associate Member - $32.00

Moved Ron Gibbs, seconded Graham Howard that the above fees be accepted.

Carried. 

  • 9. Items of General Business for which written notice has been received.
  • Life Members. Bernie Henderson advised that Inc has recommended Barry Wilkins and Graham Howard be awarded Life Membership of the Donvale Bowls Club and outlined their vast contributions to the club. It was moved Jeff Grant, seconded Geoff Smith that Barry Wilkins and Graham Howard be appointed Life Members. Carried unanimously.
  • Keith Rochow Trophy for Best Club Person. Bernie Henderson explained the origin and criteria for this award, and had much pleasure in announcing Jill Wyllie as the very worthy winner this year. He then presented the shield to Jill on behalf of the East Doncaster Cricket Club and Keith Rochow.
  • Umpires accreditation. Bernie Henderson presented umpires accreditation cards to newly accredited umpires Richard Davis and Marilyn & Jeff Grant. Bernie noted that this brought the number of umpires at Donvale to 5 and recommended that all members consider undertaking the umpires course as this number is insufficient for a club of our size.
  • Coloured Uniforms. Graham Howard advised he is now taking orders for new uniforms and jackets.
  • Tuesday pennant. Graham Howard outlined probable changes to Tuesday pennant resulting from planned changes to the Equal Opportunity Act.
  • Pennant Rule change. Graham Howard advised of a change to the Rules covering all pennant competitions in that the number of ends per game will now be 21.
